1. Who we are

This privacy policy explains how Sportsmith collects and uses your personal data, and your rights over it.

The data controller is Mr Robert Pacey, trading as Pacey Performance Limited (12223422), of 12 Great Close, Cawood, North Yokshire, YO8 3UG, operating the website sportsmith.co and its sub-domains.

We are registered with the Information Commissioner’s Office under reference 00013575191

2. The personal data we collect

We may collect and process the following categories of personal data.

  • Identity and contact data, such as your name, email address and telephone number.
  • Account data, such as your login details and the preferences on your account.
  • Purchase and transaction data, such as the courses, memberships, reports or event tickets you buy, processed through our payment and ticketing providers.
  • Marketing and communications data, such as your subscription status and your consent choices.
  • Usage and technical data, such as how you interact with the website, collected through cookies and similar technologies described in section 8.

We collect this data when you create an account, subscribe, buy a product or ticket, download a report, register for an event, or use the website.

3. How we use your data and our lawful basis

Under UK GDPR we must have a lawful basis for each use of your personal data. The table sets these out.

Where we rely on consent, you can withdraw it at any time without affecting anything we did before you withdrew it.

4. Email marketing

If you have subscribed, or you are an existing customer, we may email you about Sportsmith content, courses and events. Every marketing email includes an unsubscribe link, and you can opt out at any time through that link or by contacting us. Opting out of marketing emails does not stop service messages about your account or purchases.

5. Advertising and audience matching

This section explains how we use your data for online advertising, including with Meta.

With your consent, we may share a limited amount of your personal data, such as your email address, with advertising platforms including Meta Platforms (which runs Facebook and Instagram), and similar networks. Your email address is converted into a coded form (hashed) before it is matched, so the platform does not receive it in readable text. We do this for two purposes.

  • To show you relevant Sportsmith content and offers on those platforms. This is known as a Custom Audience.
  • To help us reach new people whose interests resemble yours. This is known as a Lookalike Audience, and it is built from patterns rather than from your individual identity.

We only do this where you have given consent, for example through the consent option on our sign-up forms or in your account preferences. You can withdraw that consent at any time through your account preferences or by emailing rob@sportsmith.co, after which we will not include your data in new audience uploads. Audiences already built will stop being refreshed with your data.

When we use Meta in this way, Meta also processes your data under its own terms, and you can review and control your ad preferences within your Meta account. 

You can object to this use of your data at any time, and it will never affect your access to our content or your purchases.

6. Who we share your data with

We share personal data only where it is necessary and lawful. The recipients fall into these groups.

  • Service providers who process data on our behalf under contract, such as our email platform, payment processor, ticketing provider, hosting and analytics providers. Current providers include:
    • Mailchimp
    • Hubspot
    • Stripe
    • Ticket Tailor
    • Google Analytics 
    • Mix Panel
    • WordPress
    • GoDaddy

 They may only use the data for the services they provide to us.

  • Advertising platforms, as described in section 5, and only with your consent.
  • Event partners and sponsors, where you register for a live event or download a report and are told at the point of sign-up that your details will be shared. We will identify the partner or sponsor on the relevant event or download page.
  • A buyer or successor, if we sell or transfer all or part of the business, in which case your data passes under the protections of this policy.
  • Authorities or advisers, where we are required to share data by law or to establish or defend legal claims.

We do not sell your personal data.

7. International transfers

Some of the providers and platforms we use, including Meta and certain analytics and email providers, process data outside the United Kingdom, including in the United States. Where data leaves the UK, we rely on a lawful transfer mechanism, such as UK adequacy regulations or the International Data Transfer Agreement and Addendum to the European Commission’s standard contractual clauses, so that your data keeps an equivalent level of protection.

8. Cookies and tracking technologies

The website uses cookies and similar technologies, including analytics tools and advertising pixels such as the Meta Pixel, Google Analytics and Mixpanel. Non-essential cookies and tracking, including advertising pixels, are only set with your consent through our cookie banner, and you can change your choices at any time.

When you visit the login page we set a temporary cookie to check that your browser accepts cookies. It holds no personal data and is discarded when you close your browser. When you log in we set cookies to remember your login and your screen choices. Login cookies last two days and screen-option cookies last a year, and if you select Remember Me your login lasts two weeks. Logging out removes the login cookies.

9. How long we keep your data

We keep personal data only for as long as we need it for the purposes in this policy, or as the law requires.

  • Account and marketing data, for as long as your account is active and for 12 months after your last interaction, unless you ask us to delete it sooner.
  • Purchase and financial records, for the period required by tax and accounting law, normally six years.
  • Consent records, for as long as we rely on the consent and for a reasonable period afterwards to show we acted properly.

The 2021 policy applied a single 12-month retention to all data. We have kept 12 months for account and marketing data and set a longer period for financial records, because tax and accounting law requires us to keep those for longer. These periods should be reviewed against how the data is actually used.

10. Your rights

Under UK GDPR you have the right to do the following, free of charge in most cases.

  • Ask for a copy of the personal data we hold about you.
  • Ask us to correct data that is wrong or incomplete.
  • Ask us to delete your data, where there is no good reason for us to keep it.
  • Ask us to restrict or object to how we use your data, including for marketing and advertising.
  • Ask us to transfer your data to you or another provider, where this applies.
  • Withdraw consent at any time, where we rely on consent.

To exercise any right, contact us at rob@sportsmith.co. We will respond within one month. There is no fee for a normal request.

If you are unhappy with how we handle your data, you can complain to the Information Commissioner’s Office at Home , although we would welcome the chance to resolve it with you first.

11. Security

We use appropriate physical, electronic and organisational measures to protect your data. No transmission over the internet is completely secure, so while we protect your data carefully we cannot guarantee the security of data sent to the website.

12. Links and embedded content

The website may link to, or embed content from, other websites. This policy does not cover those websites, and we are not responsible for their content or privacy practices. Embedded content behaves as though you had visited the other website, and that site may collect data and set its own cookies. Please read the privacy policy of any website you visit.

13. Changes to this policy

We may update this policy from time to time, and where required by law. We will post any changes on this page and, where the change is significant, tell you directly. The previous version of this policy was dated 1 August 2021. This version takes effect on 8 Jul 2026.

This policy is governed by the law of England and Wales, and any disputes are subject to the exclusive jurisdiction of the English and Welsh courts.
